Privacy Policy

Last updated: 12 September 2026

Newcastle Gutters is the controller of the personal information described in this policy. Questions or requests about your information can be sent to hello@newcastlegutters.co.uk.

Information we collect

When you send an enquiry, we may collect:

  • your name, email address and any phone number you choose to provide;
  • the property postcode, property type, contents of your message, service selected and the page from which you enquired;
  • information from the form's security checks, which help us prevent spam and automated misuse; and
  • later correspondence connected with your enquiry or work you ask us to carry out.

Please do not include sensitive personal information in the enquiry form unless it is genuinely necessary.

Why we use your information

We use enquiry information to understand your request, confirm service coverage, communicate with you, prepare or discuss a quotation, arrange requested work, keep the website secure and maintain necessary business records.

Lawful bases

We normally process an enquiry because it is necessary to take steps at your request before entering into a contract. We may also rely on legitimate interests to respond to business enquiries, protect the website from abuse, maintain appropriate records and improve how enquiries are handled. Where work is agreed, some processing may be necessary to perform the contract or meet a legal obligation.

Who receives the information

Where appropriate to assess the requested work, discuss a quotation or arrange the service, we may share the relevant enquiry details with an independent gutter service provider operating in the local area. The provider may use those details to contact you about that enquiry and may act as an independent controller under its own privacy information. We do not authorise a provider to use the enquiry for unrelated marketing.

We use Cloudflare to host and protect the website. The enquiry form is provided by Google Forms: when you send an enquiry, Google passes it to the business account so it can be reviewed and answered. These providers handle information only as needed to provide their services. We may also disclose information where required by law or where reasonably necessary to establish, exercise or defend legal claims.

If the embedded enquiry form is unavailable, you can submit the same enquiry through the Google Forms enquiry page instead.

The homepage includes a Google Maps embed. For information about cookies and similar technologies used by the website and its providers, see the cookie policy.

International processing

Some of the providers we use operate internationally, so information may be processed outside the United Kingdom. Where UK data-protection law requires safeguards for an international transfer, the relevant provider is responsible for applying an appropriate transfer mechanism under its service terms.

How long we keep information

Inactive or unsuccessful enquiry information is deleted after 12 months unless it is needed for a legal claim or another legal obligation requires it to be kept longer. If you become a customer, records connected with agreed work, payments or legal obligations may be retained for the period reasonably required by those obligations.

Security

We use reasonable technical and organisational measures to protect enquiry information. No website or email system can guarantee absolute security, so please send only the information needed for us to respond.

Your rights

Depending on the circumstances, you may have rights to access, correct, erase or restrict your personal information, object to certain processing, or receive information in a portable form. You may also complain to the Information Commissioner’s Office. Visit ico.org.uk/make-a-complaint for details.

To exercise a right, email hello@newcastlegutters.co.uk. We may need enough information to confirm your identity and locate the relevant records.

Changes to this policy

We may update this policy when the website, service providers or legal requirements change. The date at the top shows the latest revision.
